After discussing with @shaunagm at Pycon sprints we're working on streamlining and updating the documentation for organizers plannning an open source comes to campus event.

This is a meta-issue for the Information Organization milestone.

Going to move some of the notes in here as they might be more valuable if visible!:

What is the important information?

Highest Priority/Value

Logistics:

  • Timeline & planning sequence
  • Budgeting and finding funding

Publicity:

  • Publicity and marketing materials for students and organizers
  • Setting up event site

Curriculum & Scheduling:

  • Workshop schedule & curriculum options, and how to decide
  • Materials for learning/presenting specific curriculum activities

Mentor info:

  • number & kind of mentors needed to cover the chosen curriculum
  • How to find them (process, and templates)
  • Orientation for all mentors

Medium Priority

  • No show rates [Logistics]
  • how to choose a space (equipment list) [Logistics]
  • arranging food [Logistics]
  • current best practices for publicity [Publicity]
  • tell people when and how to do exit surveys (currently blocked by problem sending surveys in events.openhatch.org: Follow up surveys not working shaunagm/bridge_troll#26 )
